referred to as QA in this Privacy Collection Statement.
This Privacy Collection Statement outlines how QA collects, discloses, uses, stores or otherwise handles your personal information.
Protecting your Privacy
At QA, your privacy is important to us. We respect your privacy and are committed to protecting it at all times while delivering our services. QA complies with all applicable privacy legislation, as well as our existing obligations of confidentiality in our contractual documentation.
QA collects personal information from you to provide you with our services and information about our services. We will only collect information that is necessary for the performance of our services.
This Privacy Collection Statement explains how we collect information, including personal information, and confirms how we maintain, store, use and disclose that information. It also details your privacy rights and QA’s general rights and obligations in relation to the information we keep on record.
Types of Information
The information that we collect and hold varies depending on our relationship with you. These relationships include:
- candidates - individuals who approach us, or who are engaged by us in the process of performing our services;
- clients – individuals and companies who we deal with for the purpose of providing talent management, recruitment, HR consulting, leadership advisory and/or search services for their business.
- referees - individuals who we contact in evaluating a candidate(s) suitability for employment; and
- participants – individuals who participate in career management, leadership or personal assessment, coaching, training and development and/or other related services.
We may also collect personal information from you if you contact us directly, and/or do not fall into one of the above categories such as supply partners, subconsultants or event attendees.
Candidates
We only collect personal information that is necessary for us to determine your suitability for employment with QA or for a permanent or temporary placement facilitated by us. The types of information we collect about you are:
- your name and contact details, including your address, email address and phone number
- your date of birth
- your gender
- information in your resume and related documents including skills, qualifications, work history, references and interests
- details of your work rights in Australia
- your tax file number and superannuation details
- personal assessment or testing results
- the results of police checks, and other relevant background checks
- pre-employment medical reviews or assessments
- other information that you, your referees or our clients provide to us, including personal feedback and notes of our interactions with you and/or others in relation to your suitability for work with us or through us.
This information may be collected from you directly or from third party databases where you have shared your information (e.g. LinkedIn) referees, previous employers, and clients, who may be in a position to provide us with information that we use to assess your suitability for a position.
Sensitive information is a subset of personal information that requires greater protection under the Privacy Act (1988). QA does not actively seek to collect sensitive information unless it is necessary for our business purposes. If we need to collect sensitive information, we will obtain your consent in line with the Australian Privacy Principles (APPs).
Clients
We only collect information that is reasonably necessary for us to provide services to you. Types of information we collect are:
- contact details including address, emails and phone numbers
- details of positions, salary bands and organisational needs
- records of our interactions with you and feedback you give us regarding candidates
Referees
We only collect information that is reasonably necessary for us to determine a candidate’s suitability for employment, such as:
- your contact details including your email and telephone number
- details of your job title
- your confidential opinions about a candidate and their suitability for employment
Participants
We collect information that is reasonably necessary for us to provide services. Types of information we collect are:
- your name and contact details, including your address, email address and phone number
- your date of birth
- your gender
- information in your cover letter and resume including your qualifications, work history, job title and level.
- your assessment / testing results
Collection of Personal Information
Your personal and sensitive information will be collected by QA for its own use and on behalf of other members of the QA Group, who might require access to your personal and sensitive information in connection with the delivery of its services. Some of your personal information may be held on portable devices such as mobile phones and laptops operated and held by our employees.
If you browse our website, you do not need to disclose personal information, and we do not collect information that identifies you personally. We may collect anonymous information related to your visit to the QA website such as the date and time of your visit, the server/IP address, which pages and information were viewed and/or downloaded.
The information gathered cannot be directly matched to an individual and is only used for administration and statistical purposes such as error logging. The information does not tell us anything about you; it can only tell us about how you used our web site. This information helps us determine the areas of our website that are most helpful to our visitors. No attempt is made by QA to identify users or their browsing activities.
We track traffic patterns on our website using cookies. A ‘cookie’ is a small amount of information that is transferred to the hard drive of your computer and which can identify your web browser, but not you. You can disable your web browser from accepting cookies. If you do so, you can still access our website, but not all services may be available.
Use of Personal Information
Candidates
Personal information that we collect may be used in connection with:
- your actual or potential employment
- checking your work rights for Australia
- reference checking, including with third party cv checking providers
- communication with you to offer you work or determine your availability for work
- testing or assessment (including medical tests and psychometric assessments) that you might be required to undergo
- our management of any complaint, investigation or inquiry in which you are involved
- communicating with you about the other services that we may provide; and
- supporting our internal business processes that include assurance audits, service evaluations, legal requirements and systems maintenance and testing.
Clients
Personal information that we collect, hold, use and disclose about clients is typically used for:
- client and business relationship management
- research and recruitment functions
- marketing services
- legal and compliance requirements
Referees
Personal information that we collect, hold, use and disclose about referees is typically used for:
- to confirm the identity of referees and relevance to provide references
- candidate suitability assessment
Participants
Personal information from participants may be used in connection with:
- communicating with and providing information requested by you
- provision of assessment and associated services
Direct Marketing
We may sometimes use personal information for marketing purposes but only for:
- contacting candidates and participants with updates in relation to employment opportunities, events and industry information
- sending subscribers to our website news and job alerts to which they have subscribed
- contacting clients who we have a relationship with industry information and promotions.
When sending direct marketing material, we will provide an option to unsubscribe or opt out of receiving further marketing communications. Personal information is not used by or disclosed to any third party for marketing purposes.
Disclosure of Information
Candidates
Personal and sensitive information may be disclosed to:
- potential and actual employers and clients of QA
- employment and personal referees
- government departments or bodies (or their agents) to verify work rights status
- any person with a lawful entitlement to obtain the information.
- background checking and screening agents
We will advise you of our intentions and gain consent before we provide personal information to our clients for possible work opportunities.
Participants
Your personal information may be disclosed for the purpose for which it is collected. Generally, that is to deliver our consulting and assessment service and other related services. This may include disclosing your personal information to:
- clients who may be your potential or actual employer
- third party assessment platforms
Protecting your Information
We take all reasonable and practicable steps to protect your personal information from misuse, loss, unauthorised access, modification and disclosure. We use a variety of organisational security techniques to assist with the protection of information and to maintain its availability, security and integrity. We are committed to protecting your information through the following measures:
- restricting access to your personal information to only those who need to access and use it.
- securing personal information provided to us on servers in Australia, or in online databases that require a login and authentication to gain access.
- monitoring of IT systems to detect and stop misuse of personal information.
- Including a confidentiality clause regarding information in QA employee contractors of employment and contractor agreements
Our website is linked to the internet, and we cannot provide any assurance regarding the security of transmission of information you communicate to us online. We also cannot guarantee that the information you supply will not be intercepted while being transmitted over the internet and any information that you send online is transmitted at your own risk.
We take all reasonable steps to ensure that the terms of service with our third party suppliers recognise that QA is bound by obligations under the Privacy Act to protect the privacy of personal and sensitive information and that they will not do anything that would cause us to breach those obligations.
Access and Correction of Information
In accordance with the APPs (APP 12 – Access and APP 13 - Correction), you have a right to see and have a copy of personal and sensitive information about you that we hold, subject to some exceptions. Before providing you with access, we may require proof of your identity.
